Before, after
before
- Heavy, repetitive HR processes
- Practices that varied from one unit to another
- Little command of AI tools
after
- A common foundation of practices and rules
- A network of AI Ambassadors within the teams
- Assistants in production and an 18-month roadmap
Context
The HR teams faced repetitive processes and a heavy administrative workload. The goal: align practices across units and identify where AI can save time, without lowering the quality of decisions.
Objectives
- Reduce repetitive administrative tasks
- Standardise AI practices across the 10 departments
- Improve the quality of HR deliverables
- Put AI assistants and workflows into production
Approach
A four-stage programme: build a common foundation, create a team of champions, then move to execution at a steady pace.
Audit of the 10 departments
Half a day per department, then the analysis that underpins the roadmap.
AI literacy for 100 HR managers
Two half-days: understanding AI, prompting, the ethical framework and good practice.
AI Ambassador network
10 HR experts trained in AI agents, workflows and roll-out.
Implementation coaching
Half a day a week to turn prototypes into tools in production.
The assistants put in place
Assistants designed for each unit, to cut invisible work (summarising, drafting, sorting requests): job adverts and interview guides for recruitment, training needs and training reviews for learning and development, contract documents and new-hire files for HR administration. Candidate selection remains a human decision. On governance: AI Ambassadors, regular rituals, validation criteria and documentation.
Results
The HR function now runs more smoothly and has the in-house capacity to keep developing its use of AI.
- Fewer repetitive tasks on administrative files
- Consistent practices across departments
- A self-sufficient network of AI Ambassadors
- A clear HR AI roadmap for the next 18 months
“The programme helped our HR teams move from curiosity to mastery. Today, our AI ambassadors are becoming concrete drivers of efficiency and innovation.”
