    • Consolidation: group review of the agents built and good practice
  4. Day 1 · Querying your documents and data

    • Reporting analyst agent: reads Excel files, calculates indicators, writes a structured summary
    • Minutes agent: updates actions and owners automatically
    • Connecting an agent to your SharePoint knowledge bases (RAG)
    • End-of-day review: key takeaways and open questions
  5. Day 2 · Scoping the business use cases

    • Selecting use cases by value, feasibility and clarity
    • Defining the need: target user, problem addressed, expected result
    • Setting the scope: data used, business rules, level of autonomy
    • Prioritising the cases to prototype during the day
  6. Day 2 · Co-designing the AI agents

  8. Day 2 · Presenting and preparing next steps

    • Presentation of the prototyped agents and demonstration of the use cases
    • Group analysis of the business value and the gains to measure
    • Recommendations for moving from prototype to real use
    • Review: what was learnt, points to watch, roadmap after the training

Why train your teams to build agents in Copilot Studio?

Copilot Studio is Microsoft's tool for designing AI agents without writing code. Your teams define an agent (its role, sources, actions and limits) that draws on your SharePoint documents, replies in Teams and can read or update data in Dataverse, the Power Platform database.

An agent is neither a chatbot following a script nor an assistant waiting for your questions: it handles a task from start to finish, for a whole team. Copilot helps you write in Word; a Copilot Studio agent receives a request, finds the right procedure, drafts the reply and submits it for approval. The differences are set out in our article AI agent or chatbot (in French).

In a Microsoft environment, we recommend a three-step path: set the framework (AI Charter and licence allocation), get to grips with Copilot in everyday applications with the Copilot training, then automate with Copilot Studio.

Which task should you give a Copilot Studio agent?

A frequent team task that relies on documents already stored in Microsoft 365. Before building anything, one rule: look for the simplest solution that delivers the expected value. Does a Copilot feature already do the job? Is a configuration enough? Do you really need an agent, then an automation, or even custom development? You only move to the next step if the previous one is not enough.

Good candidates often look like this:

  • an HR assistant that answers internal questions by quoting the exact passage from the agreements or the internal regulations;
  • an agent that extracts decisions, owners and actions from meeting minutes;
  • an agent that checks whether a file has all its documents, with a human check;
  • an agent that rebuilds the history of a piece of equipment from PDF service reports.

Are your SharePoint documents ready for an agent?

Not always, and that is the first thing to check: an agent cannot be better than the information it actually has access to. Three versions of the same procedure, a folder that was never archived, an FAQ nobody updates: the agent will read them as seriously as your reference documents.

Before building, we review four points with you:

  • The source of truth: which document is authoritative on each subject.
  • Freshness: who updates it, and how often.
  • Access rights: who should see what, so the agent does not become a shortcut to sensitive documents.
  • Sources outside SharePoint: which data the agent needs to reach, and through which connector.

What role for your AI Ambassadors and your IT department?

AI Ambassadors design and maintain their team's agents; the IT department sets the framework in which they publish and share them. An AI Ambassador is a volunteer, one per team, who knows the business and has dedicated time: they spot the tasks to give to an agent, build and test the simple agents, document them and feed the project list.

More critical projects (sensitive data, ERP integration, large volumes) are built with expert support and your IT team. In every case, each agent has an owner, and its rules follow your AI Charter: who builds, who shares, who maintains.

Human validation remains the rule as soon as a reply goes to a customer or commits to a decision. In recruitment, candidate selection is a high-risk use under the AI Act: the agent helps people read, the decision stays human.

Copilot Studio or n8n: which one should you choose?

Copilot Studio if your data and your exchanges live in Microsoft 365; n8n if the agent needs to connect tools from several vendors. In a Microsoft environment, Copilot Studio has practical advantages: it is already in your suite and managed by your IT team, security is handled in the same environment as your data, and licences are managed from the Microsoft admin centre.

If your agents mainly need to move between a third-party CRM, a messaging tool and a spreadsheet, the AI agents on n8n training will suit you better. No vendor, Microsoft included, pays Datajuba: we recommend the tool that serves your organisation.

What happens after the training?

The most useful prototypes move to a pilot, with a real team and a before-and-after measurement. This is the stage where many companies stop: according to McKinsey (State of AI, 2025), 62% of the organisations surveyed are experimenting with agents, but 23% are deploying them at scale.

To get past that point, we follow a simple sequence: prototype, pilot, decision to continue or not, go-live, follow-up. We do not promise gains in advance; we measure them with you, on real use.

Launching agents across several teams needs someone to prioritise, make trade-offs and track the value: that is the role of the Chief AI Officer part-time, who works with your AI Ambassadors.

n8n or Copilot Studio?

The programme is the same: two days, 8 to 10 participants, from €5,000 excl. VAT. Choose the tool that fits your teams' environment.
